Hoiva - Nursing recruitment service

Connecting nurses, employers and intermediaries with centralized service.

Goal

ProGrupper, a recruiter company in care industry, had recognized that private nursing homes and care facilities had trouble finding employees to cover for ever-changing patient flow and sick leaves.

Employers faced a disorganized effort of reaching out to potential employees to see if anyone was free. Employees on the other hand, had no other way to proactively communicate their availability, making them unreachable while working another posting.

ProGrupper saw an opportunity to remove the uncertainties and busy work from the process. By offering a centralized service that would connect nurses and employers, ProGrupper sought to make it easy for their customers to post and accept work, while also bolstering their own role in the recruitment process.

The work

My role was to design the service as a whole as well as enable its development.

The user groups for Hoiva were employees (nurses and other care professionals), employers (care facility HR managers) and ProGrupper admins. A large part of the collaboration with my client was spent on a service map, where we laid out and iterated the steps each representive user would need to take to solve their pain points. The challenge was to make the information and tasks between the user groups flow with as little friction as possible, and to remove as many of the currently fragmented recruiting tasks as possible.

Some of my design questions were:

  • How can employees fill a general application quickly but with enough information?
  • Which recruiting tasks can be optional and/or ‘outsourced’ to employer?
  • Which tasks can be manually done by ProGrupper, to reduce initial development efforts?

My further work included:

  • Analyzing competitors and existing solutions in the business area
  • Designing dedicated interfaces for each user group, including customer-facing mobile and web applications, and a web application for client adminstration
  • Producing alternatives on branding and styling
  • Creating interactive prototypes of user flows
  • Assisting the client in tendering and outsourcing developers
  • Creating service documentation and development specifications, and coordinating the development
  • Planning user userviews and training the client in conducting them

Takeaways

The first marketing push for Hoiva was done at Finnish Nursing Congress and Exhibition - with good reception from potential users. Seeing Hoiva develop from sketches to an actualized service creating excitement among its users was an extremely satisfying professional experience for me.

However, soon after COVID made things challenging for Hoiva. Suddenly care work force was prioritized to containing the pandemic, and as such it became both riskier and more difficult to secure funding for further marketing and development. My sincere hope is that Hoiva can soon re-ignite its initial traction.

From the project I gained valuable experience in end-to-end service design, and confidence in later taking on even larger projects.
